Scholarship Operations Specialist

SUMMARY

Enter all applications and corresponding data into DTP. Scan documents into Contentverse and upload into DTP. Responsible for communication with applicants via phone and email. Provide key support to team members. Monitor and close pending applications.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Enter and attach new scholarship applications into DTP.
  • Add classes into DTP and email authorizations to appropriate parties.
  • Run report of pending applications, closing applications not meeting deadlines, and sending ineligible emails.
  • Run report of pending applications and send reminder emails for missing required documents.
  • Answer phone calls related to Gateways Scholarship. Enters grades of completed coursework into DTP.
  • Perform other job-related duties as assigned.


SUPERVISORY DUTIES

No supervisory responsibilities or duties.


SUPERVISION RECEIVED

Supervision more than once per day and daily with very little or moderate deviation from a set "routine"

Give an example of when and how this job may be required to develop alternative methods or variations in approaches to deal with unusual circumstances in the work.

  • There are times during the year, usually depending on the caseload, that duties may be paused to concentrate maximum efforts to ensure deliverables/outcomes are met.
  • Example: A surge of applications may require the department to break from normal processes to help ensure timely processing.

EDUCATION and/or EXPERIENCE

  • Completion of 4-years of high school, or equivalent, plus some additional specialized training or over 3 months up to including 12 months.
  • Requires flexibility, autonomy, initiative, intuitiveness, strong verbal/written communication skills, and strong customer service skills.
  • Ability to multi-task.

EQUIPMENT/SOFTWARE REQUIRED

Operating systems include/but not limited to: Communication systems such as regular use of Email, Phone, Microsoft Teams, scanners, Microsoft Office software; Specific training on INCCRRA's Data Tracking Program


LANGUAGE SKILLS

Must be able to speak, read, and write English fluently. Any additional language skills are a plus.

Specific vision abilities required by this job include close vision, and ability to adjust focus. The employee will work a telework (hybrid) schedule and will work a set number of days in a designated physical office.
